SwimVacation Terms and Conditions
By submitting a reservation, participants acknowledge that they have read, understood, and agree to the following Terms and Conditions.
Cancellation Policy
Because SwimVacation trips involve advance commitments for chartered vessels, lodging, guides, transportation, and other limited-capacity arrangements, the following cancellation terms apply:
Guest Cancellation
If a participant cancels their reservation, refunds will be provided as follows:
More than 12 weeks prior to trip start date: 50% refund of total trip fees
Between 12 and 4 weeks prior to trip start date: 30% refund of total trip fees
Less than 4 weeks prior to trip start date: no refund
Credit card processing fees are nonrefundable.
If space is available, SwimVacation may, at its discretion, allow a reservation to be transferred to another departure or participant.
We strongly recommend that all participants purchase comprehensive travel insurance, including trip cancellation, trip interruption, medical, and emergency evacuation coverage.
Cancellation by SwimVacation
All SwimVacation departures require a minimum number of participants to operate. SwimVacation reserves the right to cancel a departure due to insufficient enrollment, force majeure, unsafe conditions, government actions, weather events, or the failure of third-party operators or suppliers, including charter vessels and lodging providers.
In the event that SwimVacation cancels a trip, all payments received directly by SwimVacation will be refunded in full. Refunds are limited to amounts paid directly to SwimVacation.
SwimVacation is not responsible for additional expenses incurred by participants in preparation for a trip, including but not limited to airfare, hotel reservations, travel expenses, visa fees, airline delays or cancellations, third-party booking charges, medical expenses, or other non-refundable costs.
Insurance
All participants are responsible for maintaining adequate medical, accident, evacuation, repatriation, and travel insurance coverage for the duration of their trip and for all activities undertaken during the vacation.
Health Requirements
Participants must be in sufficiently good physical health to safely participate in SwimVacation activities. By submitting a reservation, participants certify that they do not have any medical or physical conditions that would create an unreasonable risk to themselves, other participants, SwimVacation staff, or vessel crews.
Participants are responsible for consulting with their physician regarding their fitness for travel and open water swimming activities.
Swimming Ability
All swimming participants must be capable of comfortably maintaining a steady pace for at least 1 mile in open water conditions and should be familiar with the physical demands and variable conditions associated with open water swimming.
Most SwimVacation participants swim regularly and maintain a good general level of fitness.
Travel Documentation
Participants are responsible for obtaining and carrying all required travel documentation, including valid passports, visas, and any destination-specific entry requirements.
For international trips, passports must generally be valid for at least 6 months beyond the participant’s scheduled return date.
SwimVacation staff will collect passport information and / or digital copy of photo page of passport at least two months prior to trip start.
Arrival and Departure Responsibilities
Participants are responsible for arriving at the designated departure location at the scheduled time and for making all necessary travel arrangements related to arrival and departure from the trip.
SwimVacation is not responsible for missed departures resulting from delayed or canceled transportation services.
Waiver
By registering, I certify that I have read and agree to the following Waiver: Indemnification - I do hereby release SwimVacation and all persons or entities associated with this trip, including owners, guides, lifeguards, and hired captain and crew of all liability related to injuries or accidents which may occur as a result of participation in SwimVacation. I hereby agree to comply with all the rules and instructions provided by SwimVacation staff. I hereby represent that I am physically capable of participating in SwimVacation, and that I will conduct myself in a safe and prudent manner while participating in the trip. I hereby acknowledge that there are always certain risks associated with any physical activity. I understand the risks and declare myself to be physically sound and capable to participate in SwimVacation. I hereby consent to receive medical treatment which may be deemed advisable in the event of injury, accident or illness during SwimVacation. No warranty as to the quality of medical care is made. I hereby acknowledge that I have sole responsibility for my personal possessions and athletic equipment during SwimVacation. I hereby absolve and hold harmless all and any parties or entities associated with SwimVacation from any damage I may sustain because of any breach of these representations.
By registering, I hereby grant permission for SwimVacation to use imagery containing my likeness for use on the SwimVacation website, social media outlets and any other media in use for promotion of SwimVacation in perpetuity.
